Planning Your Hunter Valley Wedding Timeline

A Hunter Valley wedding, particularly one set among vineyards, often benefits from a longer runway than a city wedding — travel logistics for guests, accommodation bookings, and seasonal weather all factor in. Here is a general shape for planning.

12 months out

Lock in your venue and date, and start a guest list draft. Popular Hunter Valley dates, especially in autumn and spring, are booked well in advance.

9 months out

Book your major suppliers: photographer, celebrant, caterer (if not supplied by the venue) and band or DJ.

6 months out

Send save-the-dates, particularly important if a large share of your guest list is travelling in from Sydney or interstate and will need to book accommodation.

3 months out

Finalise your run sheet with your venue coordinator, confirm final guest numbers, and start finalising styling details.

Final week

Confirm arrival times with every supplier, delegate day-of tasks to your bridal party, and try to leave at least one evening free to actually enjoy the lead-up.
